Personal Information Protection Policy

Mitsui & Co., Realty Management Ltd. (“the Company”) has established a policy, as described below, for handling personal information from a viewpoint of preventing the loss, leakage, alternation or other misuse of such information and protecting it, and declares that the Company abides by such policies. Based on this policy, the Company shall do its utmost to appropriately manage personal information, including establishing regulations on protecting personal information and securing thorough recognition and implementation of the regulations by all its directors and employees.

Details

1. Compliance with relevant laws and regulations

The Company shall appoint persons responsible for the management of handling personal information, and comply with the Personal Information Protection Law and relevant laws, guidelines set by supervising government agencies and other regulations.

2. Appropriate acquisition of personal information

The Company shall acquire personal information through legitimate and fair means. Even when acquiring personal information indirectly through a third party, the Company shall not do so if there is any doubt that such information has been obtained in an unjust manner.

3. Purpose of using personal information

The Company shall use personal information within the scope of necessity for achieving the purposes for use described below, based on the Personal Information Protection Law. When using personal information beyond the scope of the purposes of use, the Company shall notify the person in advance and confirm whether or not the individual consents to such a use.

  1. To conduct tasks related to acquisition of assets to be managed, surveys prior to the acquisitions, investigation of the eligibility of acquisitions, solicitation of possible buyers, etc., needed as the Company implements its real estate fund business.
  2. To conduct leasing operations of assets under management and their lease status, as well as for accumulation, statistics and analysis of related data, needed as the Company implements its real estate fund business.
  3. To execute the rights of investors and implement the Company’s obligations, as necessary for the Company to implement its real estate fund business.
  4. To implement measures to build a smoother relationship with investors related to the Company’s real estate fund business.
  5. To manage investor information, including preparation of data of investors related to the Company’s real estate fund business.
  6. To respond to inquiries or requests for materials from people including those who consider investment in the Company’s real estate fund business, and communicate with them.
  7. To implement contracts concerning such transactions as sale and purchase, brokerage, lease, appraisal and administration of real estate (including trust beneficial interests), as well as to provide related information and services and to conduct marketing activities.
  8. To implement contracts concerning due diligence operations (such as consultancy for judgments on investment and management and financing) and provide related information and services.
  9. To prepare and submit reports and other documents pursuant to various laws related to the industry.
  10. To conduct real estate registration procedures.
  11. To help smoothly conduct operations respectively described in the above items.
  12. To provide third parties with personal information within the scope of necessity to achieve the purposes of use respectively described in the items above.

Furthermore, the Company will suspend provision of personal information to any third party if the person so requests.

4. Securing the content to be accurate and updated

The Company shall endeavor to secure personal information it owns to be accurate and keep it updated.

5. Provision to third parties

The Company shall provide personal information it acquires to third parties when required by legal provisions, and may do so within the scope of necessity to achieve the purposes of use in writing or by post, telephone, fax, e-mail and other measures. The Company will suspend provision of personal information to any third party if the person so requests.

6. Business consignment and joint use

When consigning handling of personal information to any third party in accordance with business consignment or when using personal information jointly with any third party, the Company shall check the personal information protection scheme of the third party and conduct contractual and other measures that take into consideration personal information protection.

7. Safety management of personal information

In handling personal information, the Company shall take appropriate measures for its safety management in each aspect of organization, human resources and systems, and establish a safety management system needed to protect personal information.

8. Procedures, etc. concerning disclosure of personal data

  1. If you want to request disclosure etc. of your own personal data that the Company has, please let us know in advance by mailing us or bringing with you the request form established by the Company together with an item for confirming your identification (driving license, resident certificate, etc.). If you make the request through a delegate, an item for confirming the identification of the delegate must also be submitted.
  2. As for responses from the Company, the Company will send responses by mail that can only be received by the addressed recipient, as a measure to respect your privacy. Therefore, please note that the Company may directly reply to you even if the request was made through your delegate.

10. Continual improvement of personal information protection scheme

The Company shall establish internal regulations concerning personal information, review them on a continuous basis and endeavor to improve them.
